Onsite Mailroom Services

Decipha’s mailroom staff deliver a professional office experience for your employees and customers at your premise(s) over a set span of hours.  They are security cleared and fully trained across your mailroom requirements, with a team of relief staff available to cover any employee absences.  

Services can include any combination of the following:

  • Inbound and outbound mail and courier processing (receive, sort, record, lodge, distribute and despatch)

  • Internal mail collection, sorting and re-distribution

  • Courier bookings

  • Loading dock management

  • Inter-office (branch) mail sorting and re-distribution

  • Track and Trace for Express and Registered Post items

  • Printing, photocopying, binding and fulfilment duties

  • Administrative tasks (i.e. newspaper distribution, cheque registration, records management, stationary replenishment and mailroom related invoice reconciliation / approvals)

  • Helpdesk services including a mail service web page accessible via your intranet

  • Access to Australia Post services (i.e. Parcel Lockers, Return to Sender mail management and StarTrack)

Offsite Mailroom Services

Our offsite solutions are completely tailored with a wide range of physical and electronic services available.  This approach is best suited where there are multiple branch bag flows, large mail volumes requiring fast processing or a desire to introduce mail digitisation.

An offsite model can significantly reduce costs.  Decipha’s pool of resources and infrastructure flex to meet mail volume fluctuations, ensuring you only pay for the services you require (in comparison to a set span of hours with onsite mailroom resources).  

Services are available at any number of our facilities across Australia and can include:

  • Mail and parcel security x-ray screening and tactile examination

  • Receipt of inbound physical mail, with trained and security cleared Decipha operators opening and sorting all items as per your requirements

  • Outbound mail processing, including departmental cost allocations

  • Internal mail sorting and re-distribution

  • Inter-office branch mail sorting and re-distribution

  • Track and Trace for Express Post and Registered Post items

  • Digital mail processing via high speed scanners, with market-leading software capturing required data

  • A completely digital mailroom which incorporates receipt channels beyond physical mail (email, fax, SMS and data feeds) with workflow automation to process mail without human intervention

  • Return To Sender mail management

  • Cheque payments and accounts payable processing

  • Access to Australia Post services, such as data wash and identify verification

Hybrid Mailroom Services

Bulk inbound mail is processed offsite at Decipha, whilst our employees perform onsite mailroom duties at your premises.  This model is suitable for organisations requiring the flexibility and efficiency of an offsite mail processing model, whilst maintaining a professional onsite mailroom presence.

A hybrid solution can incorporate any combination of the services outlined in the onsite and offsite options.
